Everything you need in order to collect photos from your guests: from setting up the album, through the QR code on the tables, to downloading the lot afterwards. No need to read it end to end — the list below goes straight to what you need.
1.Setting up the album
The album is ready in a few minutes and costs nothing for the first 30 days. No card details.
Signing upYou give an e-mail address and a password, confirm that you are an adult and accept the terms. The e-mail address is the only personal detail we ask the album holder for.
Confirming the addressA message with an activation link arrives at that address. Clicking it switches the album on. If nothing arrives within a few minutes, check your spam folder.
What the free account gives you30 days and 500 MB of space — enough to try everything out, real guests included. Nothing disappears abruptly: once the period ends you still get a month to download the photos.
Logging inAlways at cloud.fotillo.com/album/. Worth bookmarking on your phone — on the day of the party you will be using the panel mostly from a phone.
When to set it upA few days before the party is fine. The album itself has no event date — only the account period matters, so it can sit ready and wait.
2.The guest link and QR code
This is the one thing your guests need. The panel issues a link and a QR code at the same time — the same address in two forms.
Where to find itIn the panel, the “Guest link” section. “Generate guest link” creates the address and shows a QR code underneath, ready to save or print.
Valid for 7 days, and extendableThe link works for 7 days from being generated, and in the panel you can extend it by 7, 14 or 30 days — WITHOUT CHANGING THE ADDRESS, so the QR codes on the tables and in the invitations keep working. An extension reaches at most to the end of the album’s validity period. “Generate a new one” is a different thing: that revokes the link your guests already have on their phones.
One link at a time“Generate new” revokes the previous link. Handy when the QR code has travelled further than you intended — but bear in mind that the old printout stops working.
Switching it off“Revoke” closes uploads immediately. Photos already sent stay in the album.
Showing the code to guestsThe QR code in the panel is a vector image, so it will not go blurry when enlarged — it works on table cards, on a board by the entrance and on a screen. “Copy link” lets you send the same address by text message or in a group chat. The “Save QR code (PNG)” button downloads a file at print resolution — put it into your own card design or hand it to a print shop.
One conditionThe link only works while the album is within its active period. After that, during the one-month read-only month, uploads are closed — downloads still work.
3.How guests send photos
Worth knowing what a guest sees after scanning the code — that is what people will ask you about at the table.
No app, no accountScanning opens an ordinary page in the phone’s browser. The guest installs nothing, creates no account, gives no e-mail address and no name.
From the gallery or straight from the camera“Choose photos or videos” opens the phone’s gallery; a guest can also take a photo there and then. Several files at once is fine — they upload one after another, each with its own visible status.
Formats and sizesPhotos: JPG, PNG, HEIC/HEIF, WebP. Videos: MP4 and MOV up to 500 MB each — enough for the speeches and the first dance.
iPhone photosiPhones save photos as HEIC, which some computers will not open. We convert them to JPEG inside the guest’s phone, before uploading, at full resolution. The guest does not have to change anything in their settings.
The guest’s consentBefore uploading, the guest confirms that they are sharing the files voluntarily, as a keepsake of the event, and accepts the service terms. That matters for photos with other people in them.
Where the files landStraight into your private album — you see them the moment you log in. No guest sees what the others have sent unless you publish the shared gallery yourself.
A name — who sent itAbove the consent box there is a field “Your name (optional)”. A guest may leave it empty. If they fill it in, you see that name next to the photo in your own panel — and nowhere else. Under the gallery link the name never appears, so guests cannot see who sent what. The phone remembers the name, so it does not have to be typed for every photo.
4.The shared gallery: selecting and publishing
The album has two layers, and that is its most important property. The private album is yours alone. The shared gallery shows only what you tick yourself. You can also turn on automatic publishing — then new files go there by themselves.
Reviewing everythingPanel → “Open gallery”. The “Album contents” section shows everything that has arrived — from guests and from the photo booth. Clicking a thumbnail opens the full view.
Ticking items for publicationTick the boxes on the files you want and click “Save gallery selection”. “Select all” helps when you want to show almost everything and untick only a few.
Automatic publishing (optional)The “Automatic publishing” switch makes every new photo and video go into the gallery straight away, with nothing to tick — useful during the party, when nobody has time to sit in the panel. It applies only to files that arrive AFTER you turn it on: whatever is already in the album you tick as before, and turning the switch off takes nothing out of the gallery. A photo you untick by hand does not come back on its own. Remember that with the switch on, your guests’ photos reach the gallery link before you have seen them.
Publishing“Publish gallery” creates a separate link and QR code — that is the one you give guests for viewing. The address differs from the upload link and can be shared more widely.
Gallery password (optional)Under the link you can set a password — a guest enters it once and keeps browsing. The point of the password is changing it: when you do, everyone who knew the old one has to enter the new one. That is how you take access back from particular people without changing the gallery address.
Changing your mindThe gallery always shows the current selection. Unticking a photo and saving removes it from the guests’ view straight away, without switching the whole gallery off.
Switching it off“Disable gallery” closes access to the link. The files stay in the album — only the display goes away.
Deleting filesIn “Delete multiple…” mode you tick files for permanent deletion; a single file can also be deleted from the full view. Deletion is immediate and irreversible — we keep no copies “just in case”.
5.Requests to remove a photo
At a wedding there is always one photo somebody is unhappy about. The guest has a button for it, and the decision is yours.
Where a request comes fromUnder every photo in the public gallery, a guest gets a “Request removal” button. They give a name and a reason — no account needed.
Where you see itRequests wait in the gallery, in the “Removal requests” section, and a counter appears next to the gallery button in the panel. Nothing gets lost in e-mail.
Two options“Delete file” removes the photo permanently. “Handled” closes the request without deleting — for instance once you have spoken to the guest and settled it.
Why this existsParty photos show people who never created an account and never signed anything with us. Their right to object is real, so instead of making somebody hunt for an e-mail address we gave them a single button. You decide, because it is your party and your guests.
Reporting abuseA separate “Report abuse” button sends the report to us — it is for unlawful content, not for unflattering photos.
6.A photo booth at the party
If the booth in the room runs Fotillo, it can be paired with the album for the duration of the party. Its photos then land in the same album, with nothing to copy over afterwards.
The party codePanel → the “Party pairing code” section → “Generate code”. The code looks like AL-XXXX-XXXX and is meant for the booth crew. Unused, it expires after 7 days.
What the operator doesThey enter the code in the software in the booth. From then on, photos from every session go to your album automatically — camera originals included, not just the finished prints.
The time windowThe booth uploads for 12 hours from the code being entered. “Extend +6 h” adds more, up to 24 hours in total — enough slack for a party that runs until morning.
Several boothsUp to 3 photo booths can share one code. Each gets its own folder in the album, so you can see what came from where.
Ending it“End” cuts the booth off immediately, without waiting for the window to close. Photos already sent stay.
What it requiresA booth running Fotillo — other devices have no way of connecting to the album. Worth asking your operator about when you book.
7.Downloading all the photos
The album is a collection point, not a long-term archive. Downloading the lot is one click, and it is worth doing once the photos stop arriving.
HowPanel → “Download the whole album (ZIP)”. You get one archive with everything: photos from guests and from the booth, at original quality, not re-compressed and not watermarked.
What is insideFiles in folders by source — guests separately, each booth separately. File names stay as they were when uploaded.
A large albumThe download starts straight away, but with several gigabytes it takes as long as your connection needs. A computer is a better place for it than a phone, and keep the tab open until it finishes.
It works after the period tooDownloading is available during the one-month read-only month, once the validity period has ended. That is exactly what that month is for.
Our adviceDownload everything and put it on your own drive or in your own cloud before that month runs out. After that the data is deleted permanently and cannot be recovered.
8.Validity, packages and the read-only month
It is a one-off model: no subscription, nothing renews by itself and we take nothing from a card. You buy a package when you need one.
The free account30 days and 500 MB. Counted from activating the account, not from the party.
PackagesIn the fotillo.com shop: 2 GB, 5 GB and 10 GB — roughly 400–800, 1,000–2,000 and 2,000–4,000 phone photos. Each package equals 6 months at its own capacity. After the purchase the code arrives by e-mail.
The album identifierThe shop asks for your album identifier — you will find it in the panel, in the “Extension and storage” section, ready to copy.
Redeeming a codeYou enter the code in the panel, in the “Top-up code” field. An account that already has purchased capacity gets asked: more space, or more time. The panel shows a concrete expiry date next to each option, so there is nothing to work out.
Why there is a choiceA package has a fixed value — capacity times time. You can spend it on a bigger album for less long, or on the same album for longer. Both come to the same thing, so neither is the “better” option.
Changing capacityAt any time, in the “Album capacity” section. The expiry date is recalculated for you and shown next to each option before you confirm. You cannot go below the space already used — files have to go first.
Once the period endsThe album switches to read-only for a month: uploads from guests and booths are closed, browsing and downloading still work. Nothing is deleted at the moment the period ends.
After that monthThe data is deleted permanently. We warn you by e-mail as the end approaches — which is why the address you sign up with should be one you actually read.
9.Keeping the album and the account safe
Wedding photos are not ordinary files, and we treat them more seriously than free galleries that dump everything onto somebody else’s drive.
Two-step loginPanel → “Security”. Once on, a 6-digit code arrives by e-mail when you log in. You can have your own browser remembered for 30 days so you are not typing a code every time. Worth switching on, especially if you use the same password elsewhere.
Forgotten password“Forgotten your password?” on the login page sends a link for setting a new one. The link lasts 60 minutes and works once.
File encryptionEvery file is encrypted before it leaves our server. The company providing us with disk space cannot open your photos — all it sees is unreadable data. We hold the key and nobody else.
Data stays in EuropeServers in Poland and Germany. Nothing travels to drives outside the European Economic Area.
The album is not in search enginesBoth the upload link and the gallery link are unguessable, and the album pages are excluded from indexing. Nobody stumbles in by accident. A link on its own cannot be taken back once someone passes it on, though — that is what the gallery password in the “shared gallery” section is for.
Deleting the accountPanel → “Delete account…”. It erases the album permanently and invalidates every code and link. Download the archive first — after deletion there is nothing to recover.
Something is not working
The situations that come up most often, and what to do about them.
A guest sees “This link has expired or was cancelled”
The guest link works for 7 days, and it also stops working once you generate a new one or once the album’s validity period ends. If the seven days have passed, use the “Extend by…” button in the panel — the address stays the same and printed QR codes keep working. Only generate a new link when the old one is meant to stop working; then the printouts have to be replaced too.
A guest sees “The album is full”
You have run out of space. Either delete files you do not want to keep, or buy a package — once redeemed, uploads resume straight away, with no need for a new link.
The phone says “unsupported format”
We accept JPG, PNG, HEIC/HEIF and WebP photos, and MP4 and MOV videos. Anything else — GIFs, files from editing apps, screenshots in unusual formats — has to be saved as a photo or a video first.
A video will not upload
The limit is 500 MB per file. A longer recording has to be split, or shot at a lower quality in the phone’s camera settings.
The activation e-mail never arrived
Check your spam folder, and the “Promotions” or “Updates” tabs if you use Gmail. If there is still nothing, try signing up again with the same address — we will send the message afresh.
The buttons for generating a code and a link are greyed out
That is how an account looks once its validity period has ended, during the read-only month: downloading works, but we accept no new photos. Redeeming a package turns everything back on.
Photos from the booth are not arriving
Check the “Photo booths on this code” section in the panel to see whether the booth still has an active window. If the 12 hours are up, click “Extend +6 h”. If the pairing was ended, generate a new code and pass it to the crew.
I cannot reduce the album capacity
The new capacity cannot be smaller than the space the files already take. Delete what you do not want to keep first, then change the capacity.
I want to delete a single photo
Panel → “Open gallery” → clicking a thumbnail opens the view with a delete button. For several files at once there is the “Delete multiple…” mode. Deletion is immediate and permanent.
A guest is asking for their photo to be removed
Requests collected by the button in the gallery wait in the panel and take one click to settle. If somebody wrote to you directly, you delete the photo yourself in the gallery — you do not have to ask us for anything.
We have forgotten the gallery password
We do not store it in readable form, so we cannot remind you of it — Fotillo support does not know it either. In the panel you set a new password and pass it on to your guests. It is the same action that takes access back, so nothing else is needed.
